Frequently asked IT asset lifecycle questions

Our IT lifecycle FAQ might help you answer some of your questions.

1. What's the asset management scanning app?

The asset management scanning app, allows you or baseMSP to scan a barcode on your assets and the asset information such as serial number is then auto populated into a new record or an existing record.

You can search based on user name or asset number.

2. What's the interactive PowerBI dashboard?

The interactive PowerBI dashboard allows you to see a tiled visual of all your assets. You can see the following:

  • Assets by model
  • Assets by location
  • Assets by user
  • Assets by used and stockholding

If you need some additional views on the dashboard, speak with one of our experts and we will look to have this setup for you.

3. What does your support service cover?

Our helpdesk support is limited to supporting the service we provide to you, whether you use the system internally or we manage it on your behalf. You can contact us in any of the below scenarios:

  • Issues accessing the scanning app
  • Issues accessing or using the PowerBI dashboard
  • Need more assets adding and unsure how to achieve this
  • Need to add new employees or change employees
  • Require more asset labels and installation

4. What's asset labelling and do we need it?

Every device or piece of hardware that you procure as a business will come with it’s own unique serial number or tag number. For some businesses, using these records to track assets is suitable. However, most enterprise organisations prefer to label their assets with their own prefix and numbering system.

We can provide you with labels designed to you business brand, alongside a number format that you need.

5. What are the limitations for stockholding?

A maximum limit of 10% of overall user subscription per item. Please see specific thresholds per item below:

  • Laptops/Desktops (10%)
  • Monitors (10%)
  • Docking stations (5%)
  • Mobile Phones (5%)
  • Carry cases (5%)

Please see the below example:

300 Employees subscribed Equates to a maximum of 30 devices per item.

Based on the above thresholds we can stock hold the following:

  • Laptops/Desktops – 30 units
  • Monitors (10%) – 30 units
  • Docking stations (5%) – 15 units
  • Mobile Phones (5%) – 15 units
  • Carry cases (5%) – 15 units

Total number in stockholding – 105 units

6. What's the bespoke joiner and leaver flow process?

This is where we discover your internal process for onboarding and offboarding an employee.

This covers off processes from HR to IT, right up to the user joining or leaving.

Once we understand the processes, we then build out a bespoke service which builds in automation at each step, this helps to streamline the overall process.

The aim is so link each step of the process together with limited manual input. Generally the requirements will differ slightly from business to business.

7. What's covered in imaging and testing?

We will deploy your custom image to each device via your preferred method. To ensure we complete this procedure to your requirements, training will need to be provided alongside documentation.

We will carry out all imaging for new devices and for any users that leave, we will re-image their devices and hold in stock ready for a new joiner.

Please note that under the standard plan, due to the shorter commitment term the following applies over the term of the agreement:

  • Imaging and re-imaging limited to 20% of total subscribed users
  • Imaging and re-imaging over and above the qualifying percentage will be billed separately as highlighted within your service agreement.

Once the image has deployed, we will test each machine to ensure it boots up to the login screen.

8. What's user account creation and deactivation?

If we are provided with access to your systems, and are granted permissions to manage user accounts. We will include as part of our process, the creation and deactivation of a user account.

It might be that there are various third party applications or systems that the users need access to, we would liaise with the relevant teams to ensure permissions and access is granted to the user.

The foundation of implementing and carrying this out, would co-inside with the bespoke joiner and leaver flow process and the discovery we would undertake.

9. What's covered with insured delivery?

For the purpose of insured delivery, “Customer” refers to a business subscribed to a baseLIFECYCLE plan. “Supplier” refers to baseMSP LTD.

baseLIFECYCLE plans include Standard, Premium and Tailored. All other plans or services within the baseMSP service portfolio are excluded from the below conditions and statements, unless otherwise stated within the plan service offering.

The following conditions apply:

  • The supplier guarantees to insure the full value of the items being shipped.
  • Insured delivery is applicable to UK shipments only.
  • The supplier is not supplying insurance direct to the customer.
  • The supplier insures the total value of the unit items directly with the courier.
  • If a shipment is lost or damaged in transit, the supplier will replace the unit free of charge to the same or similar specification depending on availability.
  • Item specification will be agreed between the supplier and customer prior to replacement.
  • Once the replacement specification is agreed and shipped, the unit(s) (if required) will be imaged and placed into stockholding at the suppliers warehouse facility.

Please note that under the standard plan, due to the shorter commitment term the following applies over the term of the agreement:

  • Deliveries limited to 20% of total subscribed users
  • Deliveries over and above the qualifying percentage will be billed separately as highlighted within your service agreement.

10. What's involved with the employee setup call?

The employee setup call, is usually arranged the day before the employee is due to commence their employment. Their IT will have already been setup, shipped and ready to use.

This is an opportunity to provide them with their login credentials, show them how to use the systems and welcome them to the business.

The reason we provide this, is when the employee starts their first day, they are ready to work from the moment they begin. It also provides an opportunity for the employee to ask any questions should they have any concerns with the IT provided to them.

11. How do we setup hardware financing?

There are many benefits to hardware financing and you can visit our enterprise hardware finance page to discover everything you need to know.

To provide hardware financing, the following needs to be qualified, agreed and completed:

  • Determine hardware specifications
  • Include or exclude software and consultancy services
  • Agree a total value in £ of finance to be provided
  • Agree on the finance term length and payment profile (e.g. 36 months paid monthy)
  • Decide what type of lease is best (e.g. Fair Market Value or Finance Lease)
  • Request a quote with our financial suppliers
  • Credit checks
  • Agreement sent for review
  • Agreement signed by business director

Please note all lease agreements facilitated by baseMSP are between you and our supplier. The following applies:

  • You will pay our supplier directly.
  • Our supplier will release the funds to us, for the full value of the signed agreement.
  • Funds are typically provided to us within 7-10days of the agreement being signed.
  • Once the funds are received, we will procure the items detailed in the signed agreement.

For future hardware requirements, individual finance agreements can be generated, and co-termed to the end date of the original agreement.
